This Privacy Policy applies to information we collect from or about:
- Customers and prospective customers
- Users of the FileWisely platform
- Employees, contractors, and representatives of FileWisely Customers
- Individuals who communicate with businesses using FileWisely
- Visitors to our websites
- Other individuals whose information is processed through the Services
Where a business uses FileWisely to process information about its own customers, employees, vendors, or contacts, that business may be primarily responsible for determining how that information is used.
In those circumstances, FileWisely generally processes information on behalf of that business.

Business and Repair Information
Customers may use FileWisely to process information relating to their business operations, including:

- Customer information
- Estimates
- Supplements
- Invoices
- Final bills
- Parts information
- Repair status
- Production workflow information
- Appointments
- Documents
- Photographs
- Signatures
- Notes
- Related operational records
Communications Information
FileWisely may process communications sent or received through the Services, including:
- SMS and text messages
- Phone calls
- Voicemails
- Call metadata
- Message content
- Attachments
- Communication history
- Customer-service interactions
Where enabled, communications may also be recorded, transcribed, summarized, classified, or analyzed.
Call Recordings and Transcripts
Where a FileWisely Customer enables recording, transcription, voicemail, or AI-assisted telephone functionality, we may process:
- Audio recordings
- Voicemail recordings
- Call transcripts
- Call summaries
- Speaker information
- Call duration
- Routing information
- Related metadata
The FileWisely Customer using these features is responsible for complying with applicable call-recording, consent, and communications laws.
Payment and Transaction Information
Where payment features are used, we may process information relating to:
- Payment requests
- Transaction amounts
- Payment status
- Refunds
- Disputes
- Payment method type
- Processor reference numbers
- Transaction history
Complete payment card or banking credentials may be collected and processed directly by third-party payment processors.
FileWisely may not receive or store complete payment card numbers or full bank-account credentials.
Connected Accounts and Integrations
If a Customer connects third-party accounts or services to FileWisely, we may receive information from those services as authorized by the Customer.
These services may include:
- Email providers
- Calendar providers
- Accounting systems
- Communications providers
- Payment processors
- Cloud platforms
- Other business software
The information we receive depends on the permissions granted and the connected service.
Artificial Intelligence Inputs and Outputs
When AI features are used, we may process:
- Prompts
- Questions
- Uploaded content
- Messages
- Documents
- Business records
- Generated summaries
- Recommendations
- Classifications
- Extracted information
- Drafted communications
- Other AI-generated outputs
Device and Usage Information
We may automatically collect technical and usage information including:

- Operating system

- App version
- Device identifiers

Location Information
We may collect location information where required for a feature and where permitted by the user’s device settings and applicable law.
Precise location information will be collected only where a feature requires it and appropriate permission has been granted.

3. Artificial Intelligence Processing
FileWisely uses artificial intelligence and automated technologies to provide certain features.
Information processed by AI systems may include communications, documents, business records, repair information, prompts, and other information submitted to the platform.
AI may be used to:
- Summarize information
- Extract information
- Classify records
- Identify potential follow-up items
- Draft messages
- Answer user questions
- Identify potential discrepancies
- Recommend actions
- Assist with workflow automation
FileWisely may use third-party artificial-intelligence service providers to perform some processing on our behalf.
We take reasonable steps to use providers subject to contractual, privacy, and security protections appropriate to the services they provide.
Customers should not submit information to AI-enabled features unless they have authority to process that information through FileWisely.
4. How We Disclose Information
We do not sell personal information for monetary consideration.
We may disclose personal information in the following circumstances.
Service Providers
We may disclose information to vendors and service providers that perform services on our behalf, including providers of:
- Cloud hosting
- Database services
- Artificial-intelligence processing
- Communications infrastructure
- Telephone and SMS services
- Email delivery
- Payment processing
- Security
- Analytics
- Monitoring
- Customer support
- Software infrastructure
These providers may access information only as reasonably necessary to provide their services, subject to contractual obligations where applicable.
Customer-Directed Disclosures
We may disclose information when a FileWisely Customer directs us to do so, including through:
- Connected integrations
- Communications
- Customer portals
- Payment functionality
- Document sharing
- Other platform features
Business Customers
Where an individual uses FileWisely through an employer or other organization, authorized administrators of that organization may be able to access information associated with the organization’s account.
Legal and Safety Reasons
We may disclose information where reasonably necessary to:
- Comply with applicable law
- Respond to subpoenas, court orders, or legal process
- Enforce agreements
- Investigate fraud or abuse
- Protect rights or property
- Protect the safety of users or others
- Respond to lawful government requests
Business Transactions
If FileWisely or Sunshower is involved in a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar transaction, information may be disclosed or transferred as part of that transaction, subject to applicable law.
With Consent
We may disclose information when the individual or applicable Customer has authorized or requested the disclosure.
5. SMS Privacy
FileWisely may send SMS messages directly to users who have opted in to receive communications from FileWisely.
We do not sell mobile phone numbers or SMS consent information.
Mobile opt-in information and consent will not be shared with third parties for their independent marketing purposes.
Information may be shared with communications service providers as necessary to deliver SMS messages and operate the messaging service.
Customers who use FileWisely to send text messages to their own customers or contacts are responsible for obtaining any legally required consent and complying with applicable messaging laws.
6. Call Recording and Communications Privacy
FileWisely may provide functionality that enables Customers to record, transcribe, summarize, route, or analyze telephone calls and other communications.
Recording and monitoring laws vary by jurisdiction.
The FileWisely Customer using these features is responsible for:
- Providing legally required notices
- Obtaining required consent
- Configuring recording settings appropriately
- Complying with applicable communications and privacy laws
FileWisely processes recordings and transcripts in order to provide the requested Services.
7. Payment Information
Payment services may be provided through third-party payment processors.
Those processors may collect and process payment credentials directly.
FileWisely may receive limited information relating to transactions, including:
- Payment status
- Amount
- Date
- Payment type
- Processor reference information
- Refunds
- Disputes
Payment processors maintain their own privacy policies and security practices.
8. Cookies and Similar Technologies
Our websites and Services may use cookies, local storage, software-development kits, pixels, and similar technologies to:
- Keep users signed in
- Remember preferences
- Provide security
- Understand usage
- Diagnose problems
- Improve the Services

11. Customer-Controlled Data
Where FileWisely processes personal information on behalf of a business Customer, requests relating to that information may need to be directed to that business.
For example, a repair shop may control information relating to:
- Its customers
- Its employees
- Repair orders
- Communications
- Business records
If we receive a request involving data primarily controlled by a FileWisely Customer, we may refer the requester to that Customer where appropriate.
12. Your Privacy Rights
Depending on your location and applicable law, you may have rights relating to your personal information, including the right to:
- Request access
- Request correction
- Request deletion
- Obtain a copy of certain information
- Object to or restrict certain processing
- Withdraw consent where processing is based on consent
- Opt out of certain marketing communications
- Appeal certain privacy decisions where required by law

Certain requests may be limited where an exception applies, including where information must be retained for legal, security, contractual, fraud-prevention, or legitimate business purposes.

- Know the specific pieces of personal information collected where required
- Know the categories of sources from which information is collected
- Know the business or commercial purposes for processing information

FileWisely does not sell personal information for monetary consideration.
If FileWisely engages in activities that constitute “selling” or “sharing” under California law in the future, this Privacy Policy and any applicable opt-out mechanisms will be updated accordingly.

We will not unlawfully discriminate against an individual for exercising applicable privacy rights.
14. Other U.S. State Privacy Rights
Residents of certain U.S. states may have additional rights under applicable state privacy laws.

FileWisely is primarily operated from the United States.
If you access FileWisely from outside the United States, your information may be processed in the United States and other countries where our service providers operate.
Those countries may have data-protection laws that differ from those in your jurisdiction.
Where legally required, FileWisely will use appropriate safeguards for international transfers.
16. Marketing Communications
Users may opt out of promotional emails by using the unsubscribe mechanism included in those messages or by contacting us.
Users may opt out of promotional SMS communications by replying STOP where supported.
We may continue to send non-promotional communications relating to:
- Account security
- Transactions
- Service changes
- Legal notices
- Support requests
- Other operational matters
17. Children’s Privacy
FileWisely is designed primarily for business use and is not directed to children.
Users of FileWisely accounts must be at least 18 years old unless expressly authorized under a separate agreement.
We do not knowingly collect personal information directly from children for the purpose of creating FileWisely user accounts.
Customer records processed through FileWisely may incidentally contain information about minors if provided by a Customer as part of its lawful business operations.
18. Third-Party Services
FileWisely may contain links to or integrate with third-party services.
Those services operate under their own privacy policies and practices.
FileWisely is not responsible for the privacy practices of third parties except to the extent required by applicable law or contractual obligations.
19. Data Processing Addendum
Where FileWisely processes Personal Data on behalf of a business Customer, such processing may also be governed by the FileWisely Data Processing Addendum (“DPA”).
The DPA describes additional obligations relating to:
- Customer-controlled Personal Data
- Security
- Subprocessors
- Data subject requests
- Data breaches
- International transfers
- California privacy requirements
- Data deletion and return
Where the DPA applies and conflicts with this Privacy Policy regarding Customer-controlled Personal Data, the DPA will control with respect to that Processing.
20. Business Transfers
If Sunshower, Inc. or FileWisely undergoes a merger, acquisition, sale, financing, restructuring, bankruptcy, or transfer of assets, personal information may be transferred as part of that transaction.
Any successor entity will be required to handle information in accordance with applicable law.
21. Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
The Last Updated date at the top will indicate when the Privacy Policy was most recently revised.
If we make material changes, we may provide notice by:
